Help
How can we help?
Below you'll find answers to the most common questions and topics for quick self-help.
Signing up
6 questionsWho can sign up?
Signup is open to a person who:
- has an Estonian personal ID code or a passport
- is a board member of an Estonian company, or wants to form a new one, which the Standard, Premium and accounting plans include
- has an identity document (passport, ID card or driver’s license) and a document showing their home address, such as a bank statement, an official letter or a utility bill
We cannot accept:
- politically exposed persons (PEPs), their family members or close associates
- persons on international sanctions lists, for example sanctionsmap.eu
- companies registered outside Estonia
Residents and citizens of countries on the FATF high-risk and increased-monitoring lists can sign up, but we accept them only after enhanced due diligence. It adds a compliance surcharge of €360 a year to yearly plans and €30 a month to accounting plans, confirmed in writing after the risk assessment.
If you are unsure whether you qualify, write to info@capture.ee before signing up.
What does signup involve?
- Account. Email address, password, and your Estonian personal ID code or passport number.
- Payment. The first payment by card through Stripe.
- Identity check. An identity document and a proof of address, through our verification partner Didit.
- Company information. Details about the company, its owners and its business.
- Review. We check the information and confirm by email when the service is active.
For a new company, the Form a Company card on the account page starts the formation.
My organisation isn’t registered yet. What should I do?
In the company form on your account, answer “No, it will be formed” and answer the other questions for the organisation you plan to form. When your identity check and the form are complete, we review them, activate the service and email you the address. You can then use it in the founding application.
- On Standard, Premium and the accounting plans we form the company for you. Use Start formation in your account.
- On Basic you file the founding application yourself and use our address in it.
When the organisation is registered, add its registry code in the company form.
A yearly plan starts on the payment date, whether or not the organisation is registered yet. An accounting plan also runs from the payment date, and the accounting work begins when the company is registered.
When can I start using the address?
When all steps are complete and we have checked the information. We email you when the service is active, with the address and how to use it.
Can I switch from my current provider?
Yes, at any time, and your current provider does not need to agree. On Standard, Premium and the accounting plans we prepare the change in the Business Register, and a board member signs it and pays the state fee. On Basic, a board member changes the address in the Business Register.
Can I use one account for several companies?
Sign up for the first company, then write to info@capture.ee about the others.
Identity and checks
5 questionsWhy do I need to verify my identity?
Anti-money laundering law requires us to identify every client. It also keeps our services from being used for fraud. The Terms of Service and Privacy Policy explain how the information is handled.
Why do you ask so many questions about my company?
As a licensed provider we must know who owns and controls the company and what it does. The questionnaire collects it once, and you keep it up to date on the account page.
Why are you asking for more information?
Sometimes the first answers are not enough to complete the review. We then ask by email from info@capture.ee for specific documents or details. Please answer within 14 days. The service starts, or continues, only when we have the information.
How do I see that all steps are complete?
The Account Status card on the account page shows identity verification, company information and whether the service is active. If a step is missing, the card says what to do. If everything is submitted and the service is not active yet, we are checking the information and will write to you. Accounting clients also see an Accounting card, which says Setting up until the accounting is connected.
How is my data protected?
Access to our systems is limited to authorized staff and requires multi-level authentication.
- Identity verification. Images, video, documents and IP address data are processed by our verification partner Didit under its data protection terms.
- Company information. Stored in our database and visible only to you and authorized staff.
- Email. Our email, including scanned mail sent to you, is protected with multi-level authentication.
Accounting
10 questionsWhich accounting plan fits my company?
- Core, €79 a month. Companies that are not VAT-registered. Up to 15 accounting documents a month.
- Managed, €199 a month. VAT-registered companies, with the VAT and payroll returns (KMD, TSD). Up to 60 documents a month.
- Extended, €299 a month. Companies with more staff, accounts and transactions. Up to 100 documents a month.
Every plan includes the legal address, the contact person and, while the plan is active, the annual report. No VAT is added. The full comparison is on capture.ee/accounting.
Is there a minimum term?
Yes, three full billing months from the payment date. After that the plan can be ended at any time, at the end of a billing month.
During the first two months the Cancel button in the billing portal is hidden. You can still give notice by email to info@capture.ee; the plan then ends at the end of the third month.
Is forming a new company included?
Yes. Forming a new company is included when the plan runs at least 3 months. If it ends sooner, the €199 formation fee is charged to the stored card for the formation work already done.
What do I need to do to start?
Complete identity verification and the company information on the account page. A board member then gives Capture Capital OÜ permission for the company’s tax matters in the Tax and Customs Board e-services (e-MTA), once. We send the steps. The Accounting page in your account shows which steps are done.
How and when do I send documents?
Each month’s documents are due by the 7th of the following month: sales and purchase invoices, receipts, contracts, payroll data, and the statements of every bank and payment account.
When your accounting is set up, we email you your company’s own address for purchase invoices and receipts, meaning the bills your company receives. Forward them to it as attachments, in PDF or JPG. A photo of a paper receipt works. An invoice written in the body of an email, or pasted into it as an image, cannot be read. Send sales invoices, contracts, payroll data and bank statements to accounting@capture.ee.
Documents that arrive later are recorded in the next period, and our questions about transactions need an answer within 7 days.
What if I have more documents than the plan includes?
One document is one invoice, receipt, expense or travel report, freelancer payment, or a bank transaction without a matching document. Each document above the plan’s limit costs €3. If the volume stays above the limit for two months in a row, we may suggest the next plan. The plan changes only with your agreement.
Is the annual report included?
Yes, while the plan is active. We send the draft for review, and the board approves it or comments within 14 days.
When does the Accounting page show my figures?
Until the accounting is set up, the page shows the setup steps. After that it shows the company’s figures as we record them.
Can I switch from my current accountant?
Yes, also during the year. We take over from your current accountant, including the accounts kept so far. The handover is priced on capture.ee/accounting under Other services.
I have a yearly plan. Can I move to an accounting plan?
Yes. Every accounting plan includes the legal address and the contact person, so it replaces the yearly plan. Write to info@capture.ee and we arrange the change.
Address and mail
6 questionsWhat is my address and how do I use it?
When the service is active, we email the address and how to use it. Use it exactly as written in that email, so that mail reaches us.
Can I use the address as an office or on Google Maps?
No. It is the address your company is registered at, not an office. It cannot be shown as the place where the company works, and there is no office space or desk.
Can you confirm my address for a bank or payment provider?
Yes. We can send a signed letter confirming that your company uses our address. Email info@capture.ee and say what it is for, and whether you need it in English or Estonian. We cannot confirm where the company actually works; if a bank asks for that, it needs your own proof, such as a utility bill or a bank statement in the company’s name. Not every bank or payment provider accepts our letter.
How do I change my company’s address in the e-Business Register?
A board member logs in to the e-Business Register with an Estonian ID card or e-Residency card and changes the address. The Register’s guide explains the steps: Changing the address and contact details. Write to us if anything is unclear.
How do I receive my mail?
We scan all mail and email it to the address on your account within 7 days of receipt. The original is shredded after scanning. You can change the email address on the account page.
Do you accept packages?
No. We do not accept parcels, or envelopes that do not fit a standard mailbox or weigh over 250 grams.
Contact person and register
5 questionsWhat does the contact person do?
On Standard, Premium and the accounting plans, Capture is your company’s contact person in the Business Register. We receive the official documents addressed to the company and send them to you by email. Basic does not include a contact person.
Who is my contact person?
When the service is active, we email the contact person details and how to add them to the Business Register. Use them exactly as written.
Does the contact person entry need renewing?
Yes. The entry expires on its own date, not with your plan. On Standard, Premium and the accounting plans we prepare the renewal, and a board member signs it and pays any state fee. On Basic the entry is not renewed, so when it expires the register removes it and sends a notice.
When do I have to update my company details?
Whenever something changes, such as the owners, address, board members or business activity. Keeping the details current is a legal obligation and lets us meet our own.
Do you prepare the annual report?
Yes. On an accounting plan it is included while the plan is active. Otherwise it costs €249 when the year’s records are in order, or €99 if the company had no activity. We need the year’s bank statements, invoices and receipts, and a short note on what the incoming payments were. If nothing has been recorded yet, we quote that work first. The report is due within six months after the financial year ends.
Billing and account
7 questionsHow do I edit my information?
On the account page:
- Profile. Email address and password.
- Company details. The company information. Keep it up to date.
- Billing. Open the billing portal to change the card and see invoices.
What payment methods do you accept?
Debit and credit cards through Stripe. Checkout may show the amount in your local currency. To pay by bank transfer, write to info@capture.ee.
How do I change my payment method?
Open the billing portal from the Billing card on the account page. Add the new card, set it as the default and remove the old one if you wish.
What happens if a renewal payment fails?
We retry the card and email you. While the invoice is open, you can pay it yourself: open the billing portal from the Billing card, add a working card and pay the open invoice. The service then continues as before.
- Yearly plans. If the fee is still unpaid 14 days after the due date, the service ends on that day. The company then has 14 days to change its address in the Business Register. If it does not, we may ask the register to remove our address.
- Accounting plans. If an invoice is more than 7 days overdue, we may pause the accounting work after telling you. If it is still unpaid 14 days after the due date, we may end the plan.
To restart a service that has ended, write to info@capture.ee and we set it up again. Paying the old invoice on its own does not restart it.
How do I cancel?
Open the billing portal from the Billing card on the account page and choose Cancel, or write to info@capture.ee.
- A yearly plan can be canceled at any time before the renewal date. The service stays active until the end of the paid year.
- An accounting plan ends at the end of a billing month, and not before the end of the third full billing month.
After the service ends, the company must change its address, and its contact person where one applies, in the Business Register within 14 days. If it does not, we may ask the register to remove our entries and claim the costs the delay causes.
Can I get a refund?
Payments are not refunded once the service has started. If we cannot accept you after checking your information, and before we have started any work, we refund the payment minus a €49 review fee. If you sign up as a private person before your company exists, you keep the legal 14-day right to withdraw; if you asked us to start straight away, you pay for the work already done.
How do I get an invoice?
Open the billing portal from the Billing card on the account page. Under Invoice history, choose the invoice and download it.
